Position Summary:  Assist in all aspects of Administrative and Dispatch duties. Insure that all administrative duties are done in an accurate and timely manner. Provide resolution to any ongoing issues related to required administrative duties.  Share in the Dispatch Responsibility.

General Purpose: Strategic Planning; Quality Assurance; Customer Satisfaction; Problem Resolution 

Status: Non-Exempt, Hourly with on-call responsibilities

  • Maintain knowledge of all aspects of daily operations

Position Responsibilities: 

  • Inventory Reconciliation
    • Review and gather customer inventory levels and reconcile daily
    • Communicate with sites for corrections as needed and adjust loads
  • Freight Invoice Data Entry
    • Review and gather driver paperwork for efficient processing of freight invoices
    • Communicate with drivers for any missing documents
    • Analyze, evaluate and post any required freight invoices
    • Submit invoices to customers as required
    • Ability to defuse situations, research problems and address concerns as needed
  • Fuel Dispatch and Pricing
    • Evaluate, adjust and monitor dispatched loads
    • Price and coordinate daily dispatch of fuel with vendors
    • Prioritize and assign loads by inventory, customer, price, pull points and geography
    • Dispatch virtual trucks to outside carriers.
  • Truck Maintenance
    • Track and coordinate required truck maintenance, update and maintain DOT maintenance records
    • Communicate with drivers and vendors for scheduling required maintenance
    • Ability to coordinate truck and load changes due to breakdowns and quickly route deliveries to maintain schedule minimizing downtime and maintenance expense.
  • Vendor Relationships
    • Work with various vendors to determine office supply needs
    • Price and coordinate best pricing with vendors for various items
  • Essential Skills and Experience
    • High School Graduate or General Education Degree (GED)
    • 1-2 years Transportation experience is preferred, but not required
    • Must have working knowledge of Microsoft Word, Excel, Outlook, Internet, email/scheduling software
    • Knowledge of DOT regulations is a plus, but not required
    • Ability to understand spoken/written English
